Introduction

Saint Meinrad Archabbey is accepting applications for a Director of Physical Facilities. This is an opportunity to provide leadership through supervision and management of the physical plant and grounds.



Primary Duties & Responsibilities

  • Manages the operations of the Physical Facilities Department, including preventative and planned maintenance and repair, supervision of new construction and remodeling of facilities, grounds maintenance, and vehicle & heavy equipment maintenance.
  • Supervises negotiations and bids for construction and renovation contracts; administers such contracts.
  • Maintains liaison with architects, engineers, and contractors/subcontractors engaged in expansions, renovations, or other major projects. Works with Treasurer/Business Manager to ensure the interests of Saint Meinrad Archabbey are protected.
  • Determines building and maintenance scope of projects; plans and prioritizes projects undertaken by Physical Facilities personnel.
  • Creates and maintains a preventative and deferred maintenance program; reviews the program regularly; updates program as needed.
  • Responsible for work order processing, assigning and reporting. Maintains records, procedures and reports to ensure quality of work production. 
  • Supervises physical plant co-workers, coordinates with the Business Manager on the purpose, personnel, position descriptions and objectives of Physical Facilities. Makes hiring recommendations, manages and evaluates all direct reports.
  • Ensures regulatory compliance with all relevant building code, permitting, and materials handling requirements.
  • Maintains the repository for all blueprints, drawings, equipment manuals. Maintains central key controls of all facilities. Updates floor plans to show physical changes.
  • Supervises recycling and waste disposal programs.
  • Coordinates with Transportation Committee to manage fleet requirements.
  • Prepares and administers the Physical Facilities annual budget in conjunction with the Business Manager. Evaluates and ensures the efficient operation of the department, controlling operation expenses at a minimum level consistent with sound maintenance practices. Coordinates the purchase of necessary supplies, materials, equipment and services from appropriate sources and maintains proper inventory control.
  • Maintains current expertise in physical facilities best practices and knowledge of HVAC, electrical, plumbing, and other industry norms and standards.
  • Collaborates and assumes other duties and responsibilities as assigned by the Business Manager to achieve the objectives of Saint Meinrad Archabbey.


Experience & Qualifications

  • Requires specialized knowledge in a professional or technical field.
  • A Bachelor’s degree in business, education, engineering or other related fields.
  • Four (4) years of manager or similar senior-level administrative experience in facilities management.
  • Required to have valid State of Indiana Driver’s License.
  • Proven background of understanding principles, best practices, and techniques of physical facilities management, project tracking, and reporting as well as best practices related to grounds keeping, skilled maintenance functions, preventative maintenance, energy management, and conservation.
  • Proven contractor management experience, with aptitude to judge quality of performance in all major technical trades.
  • Proven personnel management skills and contractor management experience, with aptitude to judge quality of performance in all major technical trades.
  • Ability to influence and motivate at all levels and to create a cohesive team. Excellent relationship building, collaboration and negotiation skills.  Proven track record of supervising skilled employees.
  • Strong analytical, research, and report preparation skills, solid budgeting, contract review, and other legal documentation skills and experience.
  • Advanced people skills, and proven leadership capabilities. Ability to prioritize and manage competing priorities.
  • Ability to communicate effectively, both orally and in writing, with a wide range of individuals and constituencies in a diverse community.
  • Competency with Microsoft Office software, including Word, Excel, and Outlook. Proficiency in work order and preventative maintenance systems.
